SMS notifications for customers – when and how to use them

18 March 2026

SMS notifications are short messages that confirm an order to a customer, remind them of an appointment, or inform them of a change. Unlike marketing SMS, they are not meant for selling, but for service. Still, they have a huge impact on how customers perceive your company.

What are SMS notifications

SMS notifications are messages sent automatically or manually that inform a customer about something that directly concerns them. It is not advertising – it is service and communication.

A typical example is an SMS regarding an order status: "Your order has been dispatched." The customer knows where they stand, doesn't need to call customer service, and you save time.

Examples of SMS notifications by industry

E-shop

For e-shops, SMS notifications are one of the most effective customer service tools. Customers want to know what is happening with their order. They may read an email after an hour (or never), but they see SMS immediately.

Examples of SMS for e-shops:
  • "Order no. 12345 received. Thank you! Dispatch within 24h."
  • "Your parcel has been handed over to the carrier. Tracking: dpd.cz/123456"
  • "Parcel delivered to pick-up point Zásilkovna Brno 5. Please collect within 3 days."
  • "Your claim no. 789 has been processed. Details are in your email."

More about SMS for e-shops can be found on the SMS for e-shops page.

Service & Repairs

Car service, electronics repair, locksmiths – anywhere a customer leaves an item for repair and waits for the result. SMS is the fastest way to inform them.

Examples of SMS for service:
  • "Your car is ready for pick-up. Opening hours: Mon-Fri 8AM–5PM."
  • "Laptop repair completed. Price: CZK 1,250. You can pick it up."
  • "Reminder: vehicle inspection on 15 April at 9:00."

Healthcare & Clinics

Appointment reminders greatly reduce the number of patients who do not show up. For clinics, this means fewer missed appointments and better utilization.

Examples of SMS for clinics:
  • "Appointment reminder with Dr. Nováková on 20 April at 10:30. If needed, call 777 123 456."
  • "Your test results are ready for collection at reception."
  • "The clinic will be closed on 1 May. Substitution: Dr. Kovářová, tel. 777 654 321."

Hairdressers, Beauty, Fitness

Reservation reminders are crucial in these services. A customer who forgets an appointment costs you money. An SMS the day before solves this reliably.

Example SMS:
  • "Tomorrow at 14:00 you have a reservation with Petra (haircut + coloring). We look forward to seeing you! – Salon Krása"
  • "Your membership expires in 5 days. Want to renew? Reply YES."

Companies & B2B

SMS notifications also have their place in corporate communication. Internal announcements, invoice reminders, or updates on project status.

Examples of corporate SMS:
  • "Your order no. Z-2025-089 is completed. Invoice sent by email."
  • "Reminder: Invoice FV-2025-156 (CZK 15,250) due on 20 April 2025."
  • "Extraordinary meeting tomorrow at 9:00. Attendance is required. – Management"

Details on business use can be found on the SMS for companies page.

Why SMS notifications are more effective than email

The reason is simple – over 95% of recipients read SMS. Email notifications regarding order status are read by barely half of customers. Those who do not read it often call customer service asking where their parcel is.

  • Immediate delivery – the customer receives the information within minutes, not hours
  • No spam filter – SMS never ends up in the spam folder
  • No internet needed – works even without wifi or mobile data
  • Fewer inquiries – an informed customer does not call the helpline
  • Better impression – the customer sees your company as professional and responsive

Practical tips

  • Be specific – instead of "Your order is being processed" write "Order no. 12345 dispatched. Delivery tomorrow."
  • Sign your messages – add your company name at the end of the SMS. The recipient does not have to wonder who the message is from.
  • Send at the right time – dispatch notification right after the shipment, appointment reminders a day in advance, payment reminders a few days before the due date.
  • Don't overdo it – do not send notifications for every step. The customer does not need to know when a warehouse worker started packing their parcel.
  • Personalize – using a name and specific details (order number, appointment, price) makes the message more useful.

GDPR and notifications

Good news – for service SMS notifications (order status, appointment reminders) you mostly do not need the recipient's explicit consent. Legitimate interest or contract fulfilment (Art. 6(1)(b) and (f) GDPR) is sufficient. The customer expects to be informed about their order status – this is a natural part of the business relationship.

It is different for marketing SMS – there you need consent. But more about that in a separate article.

Conclusion

SMS notifications are not marketing – they are service. And good service is what turns a one-time customer into a returning customer. An informed customer is a satisfied customer. They don't call the helpline, don't file complaints, and don't go to the competition.

Start with the most important ones – order confirmation, dispatch, appointment reminders. Once you see how it works, add more. Your customers will appreciate it.
